How to limit access to your survey using a password and a username?

On Evalandgo, you can restrict access to your survey using a password and/or a username. This option is available in Publish, by clicking on the Password/Username button.

You have two options: limit access with a global password or limit access with a username and an individual password.

Access via Global Password


Choose the access mode: Global password required. This means every respondent will access the survey using the same password.

You can either enter the password directly or generate it automatically.

Be aware that, for security reasons, once you’ve confirmed your settings, you won’t be able to view your password again. Make sure to save it using the copy/paste button.

Access via Individual Password


Choose the access mode: Personal password (and username) required. This means each respondent will need to use their own password to access the survey.

  • If you use an anonymous publication method: the respondent will need to identify themselves using a username and a password.
    This applies to anonymous sharing links, QR Codes, integration codes, pre-filled URL links, and unique anonymous links.
  • If you use a nominative publication method: the respondent will only need to identify themselves with a password.
    This applies to emailing platform, CSV pre-fill links, and unique links tied to contacts.

How to manage individual usernames and passwords?


You can manage individual usernames and passwords from Contact Manager.

It’s possible to add an username and/or password to each contact, either from the contact creation modal or during the import process.

Please note, for security reasons, once you confirm your settings, you won’t be able to view the password(s) again. Make sure to save them using the Excel file or the copy/paste button.

Note: If your contact doesn’t have a username, they can still access the survey via their email address. However, if your contact doesn’t have a password, they won’t be able to access the survey.

TIP 1: Generate a list of random usernames and passwords


In the Password/Username modal, you can generate a list of random usernames and passwords without using the Contact Manager module.

Click on “Generate a random usernames/passwords list” and specify how many usernames to generate. These usernames will automatically be added to your contact list, so you’ll need to select the group to which you want to add them.

When you click “Generate,” an Excel file containing all the usernames and passwords will be downloaded to your computer. Be sure to save this file!

TIP 2: Automatically assign a random password to all your contacts


From Contact Manager, you can assign a random password to all your contacts by clicking the Generate passwords button.

You can also assign a random password to a Contacts Group by clicking on My Groups, then Generate passwords.

An Excel file containing all the passwords will be downloaded to your computer. Be sure to save this file!
